PA to Executive Directors required for our local authority client based in Berkshire

THE ROLE:

To provide a confidential and effective administrative, secretarial and project support role to the (Director/Assistant Director) or such other senior manager within the Directorate/Council as may be determined.



To provide confidential, personal administrative support to the (Director/Assistant Director) including answering telephone enquiries, diary management, arrangement of meetings, prioritising and answering routine correspondence and e-mails as directed.

To contribute to the development of effective (Director/Assistant Director) business partnerships, both internal and external, through establishing good customer relationships and by delivering high quality support services

To support the (Director/Assistant Director) in the co-ordination and direction of corporate and/or directorate tasks and activities.

To induct, develop, co-ordinate and monitor Administration Team/Administrative Officers/Clerical Officers and Business Administration Modern Apprentices as appropriate) as required.

To undertake project work and assist in the preparation of research material and collation of data as required.

To set up and maintain electronic and manual filing systems and procedures to support the (Director/Assistant Director and Senior Manager) and to ensure data quality and accuracy.

To respond to routine telephone & written enquiries on behalf of the directorate as appropriate.



To undertake word processing of documents and producing presentations.



To attend meetings, take minutes, circulate documents and follow up action as required.



To undertake a range of business support functions e.g. maintaining cost centre budget spreadsheets and co-ordinating monthly agency/consultancy returns for the Directorate.



To provide PA cover across the Directorate/Council as required.



To undertake any other administrative tasks required within the Team/Directorate/Council which are commensurate to the grade of the post.



SKILLS & EXPERIENCE



Secretarial and PA skills at a high level.



Ability to handle sensitive and confidential information appropriately.



Ability to undertake research and project work.



Ability to use a variety of IT skills including Microsoft Office (Word, Excel, PowerPoint and Outlook) and databases.



Ability to write and produce accurate and concise records with ability to analyse complex data from a variety of sources.



Flexible, adaptable and able to work using own initiative.



Ability to prioritise work load and meet deadlines.



Ability to communicate effectively with people at all levels in a calm, confidential and professional manner, both verbally and in writing.
