Administration Assistant required for our local authority client based in Bath.

THE ROLE:

The primary purpose of this post is to provide clerical support for the team/section within the Council.

To contribute to co-operative working across services in accordance with the Council's Vision and Values. To contribute to cross-service initiatives as required.

To assist in ensuring the team's services are responsive to community needs and that equal opportunity and health and safety issues are identified and addressed effectively.

To assist in ensuring effective external and internal working relationships are established and maintained with organisations and agencies relevant to the work of the Team.

To ensure effective and accessible communication with staff, service users, the general public and others, as appropriate.

Provide a typing service to include the drafting of simple letters, memos, and the production and distribution of reports.

Answer and deal with telephone calls to the team.

Provide information to and liaise with members of the public and other organisations in person, by email or on the telephone.

Undertake scanning, photocopying and faxing of documents as necessary.

Maintain stock levels of equipment and stationery and to attend to printing requirements and to deal with servicing and any problems associated with photocopiers and printers.

Receive and direct incoming mail/deliveries on behalf of the team and provide a postage service for outgoing mail.

Assist in maintaining accurate and up to date filing systems for the team/section, to ensure that an effective service is available to respond to queries and requests for files.

Maintain databases relevant to the work of the team.

Contribute as required towards the team's effective day to day operations and to undertake other administrative tasks as and when required.

Qualifications, Knowledge & Experience

Good IT and keyboard skills and the ability to produce fast and accurate data

Knowledge of Microsoft office applications.

Written and verbal communication skills.

A customer-focused and people-centred approach to work.

Ability to work under pressure.

A flexible approach to work and the ability to provide administrative support across more than one team.

A common-sense approach and the ability to work on own initiative.

To undertake such other duties and responsibilities as are specified by the Administrator and are commensurate with the level of the post.
