Administrator/Note Taker required for our local authority client based in South Gloucestershire

Pay : £10p/h

Hours : 08:30 - 17:00 (37p/w)

Contract Length : 3 months - possibly ongoing





THE ROLE:

To participate in the taking of notes at confidential Child Protection Conferences under the direction of the Business Support Team Leader or Supervisor.

To participate in the arrangements for Child Protection Conferences including scheduling; booking meeting rooms; typing and telephoning invitations to participants as directed by the Business Support Team Leader or Supervisor, or in accordance with locally agreed pro-forma.



To take notes of and type Child Protection Conference notes and reports in both draft and finalized form for scrutiny, and to despatch once approved. It will be a requirement to methodically record the despatch of case conference notes.

To participate in the arrangements for the statutory reviews of Looked After Children and the distribution of records of the reviews To provide notetaking and production of notes for other meetings as directed by the Business Support Team Leader or Supervisor.

To carry out photocopying and disposal of confidential material as required by Team Members and to carry out duties concerning the filing of documents and the retrieval of filed information as required by the Business Support Team Leader or Supervisor.

To provide, as required, support in the operation and maintenance of the List of Children subject to a Child Protection Plan, including the addition, retrieval, checking, and interpretation of data. To carry out other clerical/typing/note-taking duties as required by the Business Support Team Leader or Supervisor.



To provide professional business support that facilitates the delivery of frontline services and the council priorities.

Ensuring the delivery of an effective and efficient service within required timescales and in line with corporate and service policies and operating guidelines, working in partnership with services to ensure that any risks, issues, or opportunities are identified and quickly addressed and championing continuous improvement to ensure that services are efficient as possible.



You will be responsible for delivering, the full menu of business support activities defined by the operating model to ensure the effective operation of the service.

This includes Document Management, Administration, Data entry to council systems, supporting meetings, and minute taking of lower-level cases and other meetings as requested.



Providing effective business support to meet the statutory and operational requirements.



Being aware of policies, procedures, and statutory legislation that impacts your role.

Carry out all accountabilities in compliance with the Council's Policies and Procedures.

Liaise effectively, professionally, and co-operatively with Business Support staff and service users.

Provide cover for colleagues and undertake any other work assigned consistent with the duties and responsibilities of an agile workforce.

Maintain accurate and effective communication with line management ensuring that they are regularly appraised of planned changes and developments



Actively support continuous improvement by identifying service issues, threats, and opportunities/improvements.





Abilities/Experiences



NVQ 2 or 3 GCSE's Grade C or above



Excellent minute taking skills



Administrative/secretarial experience



Experience in providing excellent business support functions ideally in a complex or regulated environment delivering high-quality services



Ability to work under pressure and respond effectively to rapidly changing priorities and deadlines.



Ability to maintain simple information, recording, and filing systems (manual and computerized).



Ability to enter, collate, compile, and distribute information consistently and effectively using a variety of methods best suited to meeting client outcomes



Experience with IT systems and how they support service delivery.



Experience in delivering service improvements through a program of continuous improvement.



Effectively working as part of a team.



Knowledge/Skills



Working knowledge of the Microsoft Office suite of products



Knowledge of the IT-based systems in use within the Council for general and specialist functionality.



Strong written and verbal communication skills.
